Work Order Request settings are maintained via Facilities Central / Settings.
Configuration
Depending on how your site is setup, you can configure locations based on your tree structure and also apply alias names to these locations - for more assistance with locations, please contact support@ermonline.com.au.
For each location, you can specify the facilities that are associated with that location.
To associate a facility with a location click on the '+Add New' button and configure the following fields:-
Tree Node
Choose from the group from the down list the location that this facility will be associated with
Name
Enter the name of the facility
Status
By default a new facility will be 'Active'
Billing Address
This is the address that will appear on the Work Order Request when this facility is chosen - if you don't require a separate address, then leave blank and the address displayed on the Work Order Request will be the one configured within Admin.
Global
If this facility should appear when you choose any location, then click on the 'Global' checkbox
Click on the 'Submit' button when all information has been entered.

Name
Enter the name of the area.
Status
By default a new area will be 'Active'.
Facility
Tick the facilities associated with the new area.
Global
If this area should appear when you choose any facility, then click on the 'Global' checkbox.
Click on the 'Submit' button when all information has been entered.

Company Details
This is the address that will appear in the Work Order Request if a specific address for the facility has not been added.
Logo
This is the logo that will appear in the Work Order Request, click on the 'Select file...' button to upload the image.
An image with dimensions of around 50-100 pixels tall by up to 250 pixels wide will provide the best results.
Contact Name and Email
This is the name and email which will be inserted into the certificate emails sent to the Contractors.
Default Status for New Requests
Please contact support@ermonline.com.au should you wish to change this setting.
CoC Email Reminder Message, Expires Email Reminder Message, Expired second Email Reminder Message
If you have the product Certificates, and you do not choose to tailor the email timing and messages of the Certificates via Certificate Types, this is the default wording that will be sent to the Contractors upon expiry of the Certificate.
The following replaceable fields can be inserted into the email to replace the relevant information:-
[type]The type of notification
[duedate] The due date for the revised certificate/declaration
[supplierName] The name of the supplier
[clientinformation] Your company details
[contactname] Your specified contact
[contactemail] Your specified contact email address
[staffFirstName] First name of Contractor Employee
[staffLastName] Last name of Contractor Employee
Emails will then be sent:-
If you have the product Contractor Entry, and you do not choose to tailor the email timing and messages of the Contractor Staff Certificates via Contractor Staff Certificate Types, this is the default wording that will be sent to the Contractor's Employee upon expiry of the Certificate.
New Request Notification
Enter the email address/es of the users that will receive a notification email when a new Work Order Request is submitted - separate email addresses with a comma (,).
Supplier Document Category
Documents from this category will be available when emailing work orders.
Facility/Area Relationship
This is a system field and should not be changed.
Contact Mobile Phone
Ignore this field.
Supplier Certificate Notification CC
Enter the email address/es of the users that will be cc'ed when a email is sent to a Contractor to request Certificate information.
Click on the 'Submit' button when all information has been entered.
This is the address that will appear in the Work Order Request if a specific address for the facility has not been added.

All Contractors need to be associated with their certain Service Type ie: Plumbing, Electrical, Building etc when they are created, so that when you choose this service type when adding a Contractor, they appear as an option.

Name
Enter the name of the new service type.

By default a new facility will be 'Active'.
Click on the 'Submit' button when all information has been entered.

Miscellaneous
If you have a standard text that you use regularly to populate the ‘Work Done’ field when you ‘Record An Action’, you can create numerous ‘Pro Forma Text’ templates that you can choose from to populate this filed automatically to save typing each time.
To create a new pre forma text response, click on the '+Add New' button and configure the following fields:-
Tree Node
Choose from the group from the drop down list the pro forma text will be associated with.
Name
Enter the name of the new pro forma text.
Text
Type your information.
Click on the 'Submit' button when all information has been entered.
